Why a platform

When spreadsheets, email and five apps stop being enough

Most companies aren’t slowed down by their people but by tools that don’t talk to each other. The same data gets typed in three times, and a simple answer means digging through folders.

  • Data scattered across spreadsheets

Orders live in one sheet, stock in another and customers in someone’s inbox. Nobody has the full picture, and mistakes surface only when a customer calls.

  • Manual re-typing and checks

Staff spend hours copying data between programs and chasing approvals for documents a system could route on its own.

  • Off-the-shelf software that holds you back

Per-seat licences keep growing, your process bends to the software instead of the other way round, and new features depend on someone else’s roadmap.

Guide

A guide to building a business platform

Before investing in custom software, it helps to know what a business platform really is, when it pays off more than an off-the-shelf product, what it costs and how development works. This guide answers the questions companies ask us most often in the first meeting.

What a business platform is

A business platform is software that connects a company’s people, data and processes in one system. It can be an ERP that brings invoicing, inventory and finance together, a CRM for sales and clients, a B2B portal where partners order goods, an internal system for documents and approvals, or a SaaS product you sell to other companies.

What all platforms share is a single source of truth. When the warehouse records outgoing stock, sales see it instantly, accounting receives the data without re-typing, and management follows it on a dashboard. Instead of people reconciling spreadsheets, the system does it for them.

Custom platform or off-the-shelf product

An off-the-shelf SaaS or ERP is a good choice when your process fits what the product already offers and you don’t need special integrations. It’s quick to roll out and the upfront cost is low. Problems start when a company has specific workflows, several types of users, local banks and accounting software to exchange data with, or when per-seat licences become a significant monthly cost.

At that point customising ready-made software often costs more than building to measure, and the result is still a compromise. A custom platform follows your process, you own the code and data, and you add features when you need them. Good signs you need your own platform:

  • the same data is entered into two or more programs
  • key processes run on spreadsheets and email
  • you pay for features you don’t use and lack the ones you need
  • partners and clients order by phone because there is no portal
  • the platform itself is the product you want to sell

Which modules and features to plan

You don’t have to build everything at once. The best results come when the first version solves the one process that hurts most, and the platform grows from there. Typical modules are client and partner records, orders and quotes, inventory and procurement, invoicing, documents and approvals, and reports and dashboards.

Beneath the modules are foundations every serious platform needs from day one: user roles and permissions, an audit log of who changed what and when, automatic backups, an API for integrations and an architecture that copes with growing users and data. We always include them, because adding them later is far more expensive.

Where it delivers real savings, we also build in AI: extracting data from invoices and contracts, sorting requests, searching the archive in plain language or drafting documents. We use our own fine-tuned models running on your infrastructure or our private infrastructure, so data never leaves the system.

How much a business platform costs

The price depends on the number of modules, user roles, integrations and security requirements. A first version with core modules usually starts at €3,000 and takes eight to twelve weeks. Mid-complexity business systems such as an ERP or CRM with integrations and migration start at €8,000, while enterprise platforms, SaaS products and large marketplaces start at €25,000 and are delivered in phases.

On top of development, plan for a monthly hosting and maintenance cost that depends on the number of users and the support level. Unlike per-seat licences, this cost doesn’t automatically grow with every new hire. We always split projects into fixed-price phases, so you know in advance what you pay and what you get.

What development and rollout look like

Development starts with analysis: we talk to the people who will use the system, because they know best where time is lost. The analysis produces a specification of modules, roles and integrations, together with a clickable prototype your team can try before we write the first line of code.

Then we work in short cycles. Every week you see a progress demo, and a staging environment lets your team give feedback early. We plan data migration from spreadsheets or a legacy system from the start and run it in rehearsal rounds, so the switch happens without disrupting work. Testing with real users, training and a gradual launch follow.

Security, ownership and maintenance

Business data is among a company’s most valuable assets, so we build security into the architecture: encrypted connections, single sign-on with two-factor authentication, role and record-level permissions, an audit log and regular backups. We can deploy the system to a private cloud in the EU or on your own servers.

The source code, database and documentation belong to you. After launch we offer maintenance under an SLA, monitoring, security updates and new modules, but you are never locked in. Any serious team can take over the system, because we use standard, well-documented technologies.

FAQ

Business platform FAQ

Answers to the questions companies ask before a project starts.

Why custom software instead of an off-the-shelf product?

Off-the-shelf products work well when your process fits theirs. When a company has specific workflows, local bank and accounting integrations or several types of users, customising a ready-made product often costs more than building to measure, and the result is still a compromise. A custom platform follows your process, you own the code and data, and you add features when you need them, without waiting for someone else’s roadmap or paying per-user licences.

How much does a business platform cost?

A first version with core modules starts at €3,000. Mid-complexity systems such as an ERP, CRM or B2B portal with integrations start at €8,000, and enterprise and SaaS platforms at €25,000. The price depends on the number of modules, roles and integrations. We split projects into fixed-price phases, so you launch the most important features first and invest gradually. After the analysis you receive a written specification and quote.

How long does development take?

A first usable version is typically ready in eight to twelve weeks. Fuller platforms with several modules, integrations and data migration are built in phases over three to six months. You see a progress demo every week, so your team can give feedback early. We also plan time for user testing, migration and training, because those steps decide whether the system is actually adopted.

Can you migrate data from spreadsheets or a legacy system?

Yes. We plan migration from the start: we analyse the source, whether it’s spreadsheets, an old application or a SQL database, remove duplicates, map the data to the new structure and validate it with your team. Migration runs in rehearsal rounds before the final switch, so the new system starts with accurate data and without interrupting day-to-day work.

Which systems can the platform connect to?

We connect platforms to banks, accounting software, payment gateways for card payments, email and SMS services, calendars, courier services and existing internal software. Integrations run through APIs, and when a legacy system has no API we propose the safest way to exchange data, such as scheduled exports or a middleware service. Every platform also gets its own documented API for future integrations.

Can the platform include AI features?

Yes. We add AI where it brings real savings: extracting data from invoices and contracts, sorting requests, searching documents in plain language, and drafting replies and reports. We use our own fine-tuned models adapted to your domain, running on private infrastructure or your servers, so your data never leaves the system and is never used for anything else.

Who owns the code and the data?

You do. Once paid, you receive the source code, the database, documentation and access to every environment. We use standard technologies such as Next.js, Spring Boot and PostgreSQL, so any serious team can maintain and extend the system. You aren’t locked in, although most clients continue working with us on maintenance and new modules.

How do you keep data secure?

Security is part of the architecture from day one: encrypted connections, single sign-on with two-factor authentication, role-based permissions, an audit log of every change and automatic backups. We deploy to a private cloud in the EU or your own infrastructure, keep dependencies updated and check for common vulnerabilities before launch. For sensitive industries we also offer on-prem installation.

Can the platform grow with the company?

Yes, we plan for it from the start. We build platforms modularly, with separate layers for the interface, business logic and data, so new modules, business units and integrations are added without rewriting existing code. Container-based infrastructure lets the system scale as users grow, and for SaaS products we use a multi-tenant architecture.

What does maintenance after launch include?

Maintenance covers monitoring availability and performance, security updates, backups, resolving reported issues within the response times set in the SLA, and small changes. We plan new modules together with you according to business priorities. The price depends on the size of the system and the support level and is agreed in advance as a monthly package.
